Entering a Timesheet: The Process


  1. Log into the portal at portal.issny.org.

  2. Click Submit Now in the Timesheets block.

  3. Select the Participant, Job Title, and SAP ID.

    • Only qualifying jobs for a participant will display in the Job Title dropdown. See the section General Requirements » Qualifying Jobs for more information about which jobs qualify for eTime submission.
    • SAP ID is the version of the paper timesheet being used. This corresponds to the staff action plan, and determines which activities are selectable for each time entry. The SAP ID can be found in the lower left corner of the paper timesheet.

  4. Enter each line from the paper timesheet into the form.

    • For more information on each Method option, click the question mark icon next to Method,Method, or see the section Entering a Timesheet » Method Options of this guide.
    • If you are working a time frame spanning multiple days, as most notably happens when delivering Respite services overnight, you should split your time up at midnight and enter it as two separate days. For example, if you work from 9:00 PM June 1st to 7:00 AM June 2nd, create one entry for June 1st from 9:00 PM to 12:00 AM and a second entry for June 2nd from 12:00 AM to 7:00 AM.

  5. If you are not ready to submit the timesheet yet, you can save the timesheet by clicking Save and return to it later.

  6. Otherwise, click Finalize Timesheet.Timesheet.

  7. Review the timesheet before submitting to the circle of support for approval.
    • To make changes, click Edit Timesheet.Timesheet.

    • To submit the timesheet for approval, click Submit to Circle.Circle.

  8. Upload a scan of the paper timesheet. This is required because the paper timesheet is the original source document.

  9. Click Submit to Circle.Circle.

  10. All web approvers for the participant will receive an email notification that there is a timesheet to review.
